Challenge
As with most global organisations, a secure, resilient email infrastructure is central to Secom’s worldwide business operations. Its legacy email system was substandard, with latency and management issues. The system hindered effective companywide collaboration and stretched IT resources.
Secom needed efficient email delivery and a reliable email infrastructure. The company also wanted greater collaboration within its workforce to retain its market leadership. It envisioned a Phase I that would include email and shared calendars; Phase II would incorporate increased document collaboration and improved user communication. Also, because it was required to archive emails for compliance reasons, Secom wanted a simple, intuitive archival solution.
Solution
“We needed a whole product solution to deliver for us. Minimal disruption to users while delivering the solution was a prerequisite,” says Bryan Webster, Secom IT manager. He assessed and reviewed all serious offerings in the marketplace, including Microsoft® Exchange. Secom settled on a cloud-based solution from Google.
“The business clearly recognised Google Apps for Business as the mature cloud solution of choice,” Webster says. Secom worked with vendor AppsCare Global Services to configure, deploy, and support the service. “Due to imminent service-contract renewals, we were forced to migrate our users onto the email security and archiving platform, delivered with Google Apps, in a very short time.”
Results
Secom and AppsCare delivered the first element of the project over a single weekend. The complete rollout was dramatic and swift, with zero downtime throughout the deployment. By Monday morning, Secom’s European users were using the new system and benefitting from upgraded email security and compliance, with limitless email archiving in the cloud.
The company took a mature, structured, phased approach to rolling out Google Apps to its users. An initial focus on email migration and shared calendars has been followed by document collaboration and additional Google Apps functionality. Complaints about email delivery have disappeared.
